1. RESERVATIONS WITH FLEXIBLE RATE PLAN

Cancellation Policy

  • Cancellations or changes must be made by email only. No telephone or in-person changes are accepted.

  • Free cancellation or modification up to 7 days before arrival.

  • Late cancellation (within 7 days of arrival): The Full amount will be charged to the provided credit card.

  • No-show: Full reservation amount will be charged. The hotel may release the room.

  • Early departure: The Full remaining amount will be charged.

Modification Policy

  • Changes (room type, dates, etc.) are allowed up to 7 days before arrival without penalty.

  • All changes are subject to availability and current pricing at the time of modification.

  • This reservation is strictly non-refundable and non-transferable.

  • Full amount charged at the time of booking.

  • No-shows or early departures are non-refundable. The room may be resold.

  • No modifications allowed under any circumstances.


3. TRAVEL INSURANCE RECOMMENDATION

We highly recommend purchasing Travel or Cancellation Insurance to protect against unexpected changes to your plans.

Important Notice:
The hotel is not liable for travel disruptions (e.g., flight cancellations, train strikes, extreme weather).


4. PAYMENT POLICY

  • We accept Visa and MasterCard only (no Amex or debit cards for bookings).

  • A valid credit card is required to guarantee all reservations.

  • Non-refundable bookings require full payment at time of booking.

  • All payments are processed in EUR.

  • At reception, we accept Visa, MasterCard, Maestro, and cash.

  • Guests must present the credit card used at booking upon check-in.

  • A pre-authorization will be applied to cover the stay and incidentals.

  • The hotel may charge the card for: bar charges, late cancellations, no-shows, early departures, or late check-outs.


5. MULTIPLE ROOM BOOKINGS

  • Bookings of 3 rooms or more are considered group bookings.

  • Special conditions may apply—please contact us at info@hotelrbc.be for group booking arrangements.


6. ROOM CONDITIONS

  • Each room accommodates a maximum of two guests.
  • This limit is strictly enforced, with no exceptions, including for infants or children.

  • All rooms feature one large bed: a queen-size bed in the Charming Small Room, and a king-size bed in all other categories. Twin beds are not available.
  • Guests arriving with more than two occupants per room may be denied check-in, and the full reservation cost will still apply.
  • Guests exceeding the occupancy limit are required to book an additional room. If no additional rooms are available, securing alternative accommodations is the guest’s responsibility.
  • These policies are strictly upheld in accordance with fire safety regulations and insurance requirements.

7. INVOICE REQUESTS

  • Please provide billing details (and VAT number for companies) no later than check-in.

  • Invoices cannot be changed after checkout.


8. NON-SMOKING POLICY

  • The hotel is strictly non-smoking throughout all rooms and common areas.

  • A €250.00 fine will be charged for non-compliance.


9. BABY COT POLICY

  • Only Standard Large room and Superior Deluxe rooms can accommodate a baby cot (max. age: 2 years).

  • Limited to 1 cot per room. Cost: €30.00 per night (subject to availability)


10. LOST & FOUND POLICY

  • Forgotten items? Contact us via email.

  • Items left behind are stored in our Lost & Found safety box.

  • Shipping costs are paid by the guest.

  • We are not responsible for loss or damage during shipping.

  • Unclaimed items after 30 days will be donated or discarded.

  • Underwear is disposed of immediately for hygiene reasons.
